Meeting documents are accessible via SharePoint links available on each meeting page. A member with a current Declaration of Interests can access the SharePoint link at any time.
Upon selecting ‘View papers’ a pop-up message will appear confirming that documents will be available through SharePoint in a new tab. In the new tab, members will be asked to confirm access with a code sent to their email address.
The SharePoint platform will not timeout and the user will be able to view and download documents using standard SharePoint functionality.
Meeting documents will be visible to members after:
the Conflicts of Interest for that item has been marked with an ‘Access granted' symbol, and
the Secretariat has uploaded documents for those items. Please note that lodgement documents provided by the applicant will be available for members to see as soon as they have completed their COI.
For meetings prior to April 2025, documents are still accessible at the agenda item level should a member wish to use the original functionality. To access the documents in this location, select the agenda item within the Conflicts of Interest section. At the bottom of the agenda, there are the ‘Supporting Documents’ including folders containing documents for your review:
Lodgement documents – Documents lodged with the application/submission by the applicant/sponsor
Applicant related documents – Documents that the applicant can view, including applicant responses to evaluation documents, and pre-committee and pre-subcommittee responses
Committee related documents – Documents shared with committee members by the Department
